Introduction

The Civilian Secretariat for Police Service (CSP) is recruiting two Executive Personal Assistants to support the Office of the Deputy Director-General (DDG) in Pretoria. This is a fantastic opportunity for an experienced administrative or personal assistant professional to work closely with senior government leadership, offering an annual salary of R413,001.

Responsibilities

As Executive Personal Assistant to the DDG, you will:
• Render administrative support services, including screening calls, emails, and correspondence
• Assist in planning, scheduling, and coordinating internal and external meetings
• Draft the DDG's meeting calendar and book boardrooms for meetings with stakeholders
• Assist with compiling quarterly Demand Management Plans and monitoring budget expenditure
• Provide secretariat support for the DDG's meetings, including following up on resolutions and action items
• Handle correspondence and maintain the office's filing system and confidential records
• Render logistical support, including travel and accommodation arrangements, itineraries, and travel claims
• Ensure the DDG is fully prepared for meetings and engagements with relevant briefing documents
• Maintain the DDG's personal file, including leave forms and performance agreements
• Ensure effective, ongoing communication between the DDG's office, the Branch, and other business units
• Receive and record documentation before submission to the Branch Coordinator
• Meet and greet clients and stakeholders visiting the DDG and manage the waiting area

Required Qualifications

• An undergraduate qualification (NQF Level 6, recognised by SAQA) in Public Administration or a related field
• A minimum of 2 years' experience in an administrative, secretarial, or personal assistant environment
• Knowledge of information management and office administration
• Understanding of Supply Chain Management procedures, Public Service legislation, departmental policy, and the PFMA
• Proficiency with virtual meeting platforms, calendar, and scheduling tools
• Strong computer literacy and communication skills (verbal and written)
• Report writing, presentation, and project management ability
• Planning, organising, and analytical skills, with the ability to interact across all business units
